Conceptualisation

CottbusCongress offers personalised advice and even support for the programme design.
The details of the event will be discussed and determined together with our customers. We will subsequently make out a schedule and decide upon the arrangements and then help you to find the correct gastronomic, social und cultural environment for your event.

Room and equipment planning

We will advise and support you as necessary in selecting rooms and areas with suitable ambience. You will get support for accommodation, interior design, technical equipment and management of the event.

Planning basics

We will cover the scheduling of all preparation and realisation steps, plan the budget and determine the organisation and the service.

Service for the congress participants

If required we will accomplish a full service for the participants, including registration of participants, mailing participation confirmations and accounts, making and distributing congress cards and tags, and making lists of participants and statistics.

Congress counter

According to your requirements, we can arrange and conduct the congress counter, distribute the congress documents, perform on-the-spot recording of the participants and organise a general info service and deployment of the hostesses.

Speakers and V.I.P. support

If required we would provide the speakers and guests of honour with support and information about event procedures, align the presentation media, cater for the congress recording and make out the congress documents. The full service includes accommodation and travel arrangements up to personal on-the-spot assistance during the event.

Direction service

Our direction service contains schedule controlling, planning and observation of external services, deployment of hostesses, planning and observation of catering and the organisation of supplementary programmes and events.

Transfers, supplementary programmes and hotel accommodation

Specialists excursions, supplementary programmes
We will ensure full advice and co-operation in organising specialists excursions and supplemantary programmes. This will be adapted to your programme and include the complete service for the participants.

Hotel accommodation

Thanks to our good working relationship with our partner hotels, we can easily cater for all your accommodation needs.

Finances, Accounting

If required, we will take on full responsibility for planning and checking the budget, including accounting for internal and external services, the final accounting and book-keeping. For superior accounting, we can establish special accounts, e.g. for participants fees.

Advertisement, Information service

Targeting the participants
We make target group portfolios and address lists, release mailings from the address files taylor-made to your project. If required, we could give support by using organisation control lists or with a special customer information service. Our ad department will support you in designing and making registration and other printed documents.

Public relations

Taylor-made to your event, a conception of all ad activities could be made, incl. media scheduling and press service.

Services

Congress equipment
Our on-the-spot team is well experienced. They stand for the complete technical conception and its realisation. We can provide advice on all technical issues, check all the safety requirements and assemble the technical equipment required, such as stages and stands.

Event organisation
The most important part of starting a project is the prior consultation. We check the room demands, coordinate the course of action, make the schedule and lease equipment. Our on-the-spot manager will attend to your needs from the very first consultation until the final event will be completed. Additionally we offer several services, as procurement of insurances, a shuttle service, the placement of various staff, as for paramedical service, as for fair construction, decorationing, and more.

Facility management
of MesseCottbus includes the technical management, security service, cleaning service, maintenance and repair of technical facilities, furthermore the outdoors facilities service, winter service, hall service and wardrobe service.

Catering
If required, our catering partner will cover the planning, management and execution of gastronomical service for events of all kinds. This service can range from a simple fast food menu to multi-course menus, up to first class banquet service. Service can be provided to all the rooms in MesseCottbus. Additional mobile stands will be erected at concert events with up to 5,000 visitors.
